Customer list provide an overview of all customers who have made a booking or a request through the booking system. It contains relevant information about the customers, such as name, address, telephone number and email address. The customer list makes it easier for the landlord to have a comprehensive overview of all his customers, and to communicate with them if necessary.

Administration - Booking overview

With a booking overview, landlords have full control over all bookings, regardless of status. This includes bookings that require attention, are awaiting payment, invoiced, have been paid, declined or expired. It is possible to search and filter for customer or booking information, as well as change which columns are displayed. All reservations can be easily downloaded as both CSV and PDF files. From the overview, it is also possible to change the booking status and open a booking for more detailed information. With this functionality, landlords can easily keep track of all bookings and ensure efficient handling of each one. Changing the time of the reservation is done via the administration calendar, to be able to easily see that it does not overlap with other bookings.

By opening bookings, the landlord has the opportunity to see relevant bookings in a clear list, as well as the corresponding message dialog and activity log. This gives the landlord the opportunity to have full control over the communication and history surrounding each individual booking. The message dialog provides the opportunity to communicate directly with the customer, and the activity log provides information on all actions that have been taken on the booking, such as changes in dates or payment status. This makes it easy for the landlord to keep track of each individual booking, and ensures that all communication and history is collected in one place.

Administration - Double booking checks

The purpose of this module is to check whether a booking has already been made for a rental object at a given time, and thus avoid double bookings that can lead to misunderstandings and conflicts around the use of rental objects. If the system detects a double booking, it will issue an alert requiring action.

There will never be any conflicts when the tenant himself books through the booking system, as it will not be possible to send a request at an already reserved time. However, it is important to be aware of the possibility of double booking when the landlord makes manual changes.

Administration - Contact and key information

Important information and contact data for the rental properties can be entered here. This may include details of the property's unique location, rules and restrictions, as well as contact information for the landlord or administrator. By making such information clearly available, the landlord can increase the chance that potential tenants will make contact and complete a booking.

Administration - Balance

Balance shows an overview of earnings, total withdrawable balance, total orders, fee and payment history. This provides a quick and easy way for the landlord to have control over the finances. With the payment history, the landlord can see when and how much has been paid out, while the balance provides an updated overview of available funds. The total number of orders and fee payments gives a good indication of whether the rental business is going well or whether there is a need for adjustments in pricing.

Administration - Activity log

The activity log provides an overview of all actions and activities related to bookings and rental properties. This includes information such as when a booking was created, when it was changed or cancelled, who made the change, and what the change was. It also provides a complete overview of all activity related to a rental property, allowing administrators to track changes and ensure everything is running smoothly. This provides additional security and the ability to track any problems that may arise.

Determine which rental objects should be visible to specific user groups, for example, meeting rooms that are only suitable for the municipality's employees can only be visible to this group, and by controlling access to user roles, you can easily control which user has access to which rental objects.

Our system uses user groups to delegate responsibility, so that, for example, an admin can create a department for sports rental with 30 rental objects and give access to a case manager who can take over responsibility for the rental objects on behalf of another case manager who is on sick leave. Admin can choose which user groups should be displayed and add users who should have access to these, so that case managers can easily take over responsibility for rental properties.

It is as easy to create a rental property as it is to publish an advertisement on finn.no. The steps are well described and the administrator is guided through the entire process with guidance text for best practice.

There is no limit to the number of rental objects that are posted, but this can increase the price. Contact us or see prices here.

You can save the rental object as "Draft", publish, which means showing it publicly, or deactivate, which will not show the rental object to anyone. Afterwards, it is also possible to change the status. From started, active and inactive ads.

Administration of the calendar gives you the opportunity to easily manage the bookings and the availability of your rental properties. This includes adding and deleting bookings, blocking agreed times or time slots, changing availability, and getting an overview of already completed bookings. With the administration of the calendar, you can plan ahead and ensure that your rental properties are always ready for use. In addition to the drag-and-drop functionality in the calendar, you can also change customer information, handle recurring bookings, approve or reject bookings, and review bookings before they are approved.

Reviews

Reviews can provide valuable insight for potential customers about the quality of the service, while also giving the landlord an opportunity to learn what they are doing well and what could be improved. In some cases, reviews can be disabled for different rental properties - contact the Gibbs team for more information on this.

Notice

The Gibbs Email and SMS Notification System is a system used to notify individuals or groups of important events or updates in real time via email or SMS. The system is particularly useful in situations where there is a need for immediate notification, for example in case of changes to a reservation or an access code. Gibb's email and SMS notification system is often used by organizations, schools and other institutions that want to keep individuals or groups informed of important events or updates in real time. Messaging system

Gibb's messaging system enables users to communicate directly with each other within the booking system. This can be useful, for example, if a customer has questions for a supplier about an order, or if a supplier wants to provide information to the customer about an event or an activity. The messages are sent and received in real time, and users can also receive notifications when they receive a new message. This helps to make communication more efficient and provides better customer experiences.

Put on your own website

With a customized link, you can decide what rental properties you want to display on your own website, so that users will always be directed to you and have access to updated information about available rental properties.

Info screen - Availability calendar

You can display the availability calendar with specific opening times for selected rental objects on a TV or tablet with the option of adding filters and choosing between week view or day view. It automatically adapts to the screen size, but can also be specified to specific width and height.

The calendar is automatically updated every 10 minutes.

Target group discount

The landlord can define different target groups and prices for each target group, and add a discount if desired, which can be saved as a template and used on other rental properties.

During the booking process, the tenant will be able to select a relevant target group that the landlord has defined and associated with a discount. The price is then automatically calculated based on the discount associated with the selected target group. It is the landlord's responsibility to verify whether the tenant actually belongs to the selected target group.

Coupons

With coupons, landlords can give a percentage discount on the rental price or a fixed amount discount on the total price. Landlords can also set a limited time period for the voucher and limit the number of times it can be used. Vouchers can be sent to tenants via email. In this way, landlords can attract more tenants and increase their income stream through promotions.

Rental price types

The landlord can adjust prices based on several factors such as hourly price, daily price, weekend price, time slot price, target group, coupon and extra services. This means that landlords can offer different prices based on the time period chosen, whether the tenant belongs to a specific target group, and whether there are additional services that are desired in addition to the rental property. The prices are calculated automatically by the system and shown to the tenant in the booking process and the landlord gets a full overview of the booking.

Offline payment

Offline payment in Gibbs refers to payments that do not take place via the booking system, but rather are done manually between landlord and tenant outside the platform. This means that the landlord can still use the booking system to manage reservations, but must create an invoice himself on his own invoicing system and send it to the tenant. The landlord must then ensure that the payment is made and mark the reservation as paid in the system.

All reservations can be downloaded as CSV or PDF and use this as the basis for invoices.

Online payment

With online payment in Gibbs, tenants can easily and quickly pay for rental objects and services via various payment methods such as Vipps, Visa or Mastercard. This eliminates the need for manual payment processes, making the payment process faster and more efficient.

Landlords do not need to do anything other than wait for the payment, as the entire payment process is handled automatically by Gibbs. This includes handling payment information, confirming payment and transferring money to the landlord's account.

Online payment also makes it easier for tenants to pay, as they can do it at any time of the day and from anywhere with an internet connection. Landlords can easily track payments in the system and view payment history and payouts.

Payment solutions often take 2-3% of the paid amount as a transaction fee + NOK 2-10 per transaction. This varies based on which payment solution the customer chooses. But to make it easy, gibbs takes the 3% regardless of the chosen payment solution.

Automatic translation

Gibbs.no offers automatic translation of rental ads into several languages, including Norwegian, English, Swedish and Danish, using machine learning technology. This allows landlords to reach a wider audience and make it easier for tenants from different countries to read and understand the ads.

Automatic access & access control

With automatic access, the landlord can link rental objects together with a digital lock. After a completed or approved booking, the tenant receives an SMS and or email with a code that is only valid for the booked time period.

We recommend using Igloohome their locks, as these do not need WIFI or electricity to work optimally with our system. Contact us to set this up 🙂

Automatic approval

When instant booking is activated, all bookings will automatically be approved as long as all requirements are met, such as approval of rental terms, full payment of rent and verification with BankID.

Pssst. Rental objects with instant booking activated receive more requests, since the tenant does not need to send requests to several places due to uncertainty about approval.

Hourly & recurring rental

Hourly rental is suitable for various types of rental properties, such as sports facilities, function rooms, meeting rooms, equipment, outdoor areas and volunteer centres. The customer can rent rental objects for 15 minutes or several consecutive days, but this depends on the opening hours. For the rental period, a minimum number of days and a maximum number of hours can be set. Rental objects can also be divided into lanes or sections and priced as a percentage of the total

24-hour rental

24-hour rental is suitable for various types of rental properties such as cabins, country houses, apartments, equipment, cars and boats. This means that customers can rent rental properties for a single day or several consecutive days. A minimum number of days that can be rented and a maximum number of days can also be added.

This can be useful, for example, for a short weekend trip, a temporary housing solution or a day trip on the lake. For landlords, round-the-clock rental offers the opportunity to increase rental income by offering the rental object to several customers within a short period. This can be particularly beneficial for rental properties that are in high demand for a shorter period, such as boats in the summer or cabins in the winter.

Time slot-based rental

Time slot-based rental has predefined times for rental. The landlord enters which time slots are available for booking, and the tenant then selects the desired date and available times.

For example, the landlord can set up a time slot from Monday to Friday between 08.00 and at 16.00, or from Friday to Sunday for a weekend rental. In this way, the lessor has full control over when the rental object is available and can avoid unwanted rentals.

The booking system is smart, so it allows you to create time slots that overlap. If a user has booked a time slot on Friday, it will no longer be possible to book from Friday to Sunday.

A user with access to multiple accounts or profiles can switch between them with a single click. This makes it easier for the user to manage and use different accounts or profiles without having to log in and out several times. One click switch is particularly useful for users who work with several clients or projects at the same time, and who need to switch between different accounts or profiles frequently.

Here you can choose which statistical fields are to be exported. This can be statistics on rental properties, target groups, payment methods, time of rental, total income, used available rental time, etc. It is important for users to know key key figures, which is why the solution offers a broad report export. The reports can be customized and you can create exactly the reports you need. In addition, there is a set of standard reports that can be used. All reports can be downloaded as CSV or PNG.

Administration - Own rental terms and PDF

When booking the rental property, the tenant will have access to attached documents that must be digitally signed, and these documents include, among other things, fire and safety instructions, rental terms and conditions, lifesaving courses and any necessary courses/certificates for use of the rental property. These documents are available at the bottom of the advertisement for the rental object, and the tenant must accept the terms and conditions by ticking a check box after entering the customer information.
